Description of the Venali Junk Fax Filter
feature
If a spam fax is sent to your Venali fax
number, the fax is routed through Venali's Internet Fax service
that includes the new patent-pending Junk Fax Filter. This filter
is designed to immediately detect the spam fax using technology
that was developed by analyzing over three million junk faxes. When
this spam fax is sent to your email address, it now includes a subject
line: "Junk Fax:". This will enable the fax to be filtered by either
your mail server email spam software or a desktop email client filter
or rule.
Reporting a spam fax that was not labeled
as spam
If you receive a fax that has not been labeled
as spam but is really a spam fax (false negative), forward the fax
and all its attachments to reportspam@venali.com.
Please add the words "False Negative" to the subject line
of your email.
Reporting a fax that has been mislabeled
as spam
If you receive a fax that has been labeled
as spam but isn't really a
spam fax(false positive), forward the confirmation containing the
fax
ID number to reportspam@venali.com.
The fax ID can be found in parentheses at the bottom of your confirmation,
for example: {e2bb9c23-0d1a-4afe-853e-cd827ae2381e}. Please add
the words
"False Positive" to the subject line of your email.
Filtering junk faxes vs. legitimate faxes
If your mail server or email client has an email spam feature with
a subject line filter, we recommend you route all possible junk
faxes to the Email Spam Folder or alternatively set up a Junk Fax
Folder by filtering the subject key word: "Junk Fax:" for email
addresses emessaging@ipfax.venali.net. Creating a Junk Fax Folder
is beneficial
to ensure that no legitimate faxes are being mislabeled as junk
faxes. Reference the detailed instructions below on how to configure
your email server and email client.

that enables a subject line filter, we recommend you route all possible
junk faxes to a user email spam folder. For this scenario, a filter
by the subject key word: "Junk Fax" and for the email address emessaging@ipfax.venali.net.
Configuring a Junk Fax Filter Rule for
your email client
(Microsoft® Outlook 2003 Instructions)
To create a Rule to move your Junk Faxes
from your Microsoft® Outlook inbox to a Junk Faxes Folder, do
the following:
- From the Microsoft® Outlook 2003 Tools Menu, click Rules
and Alerts.
- From the E-mail Rules tab, click New Rule.
- Click Start from a blank rule.
- Under when messages should be checked, select Check messages
when they arrive, and then click Next.
- Under condition(s), click from people or distribution list and
click with specific words in the subject.
- Under Edit the rule description, click people or distribution
list
- In Rule or Address dialog box, in the From> field, enter: emessaging@ipfax.venali.net,
then click OK.
- Under Edit the rule description, click specific words.
- In the Search Text dialog box, under specify words or phrases
to search for in the subject, enter Junk Fax:, then click Add,
then click OK.
- In the Rules Wizard dialog box, click Next.
- In the Rules Wizard dialog box, under action, click Move it
to the specified folder.
- Under Edit the rule description, click Specified.
- Do one of the following:
- Select a Junk Fax Folder that you previously setup, then click
OK.
- Create a New Folder by clicking New. Under Name, enter Junk
Faxes. Select where to place the folder, then click OK.
- Follow the rest of the instructions in the Rules and Alerts
Wizard.

Outlook XP Instructions)
To create a Rule to move your Junk Faxes from

- Click on the button New.
- Select Start from a blank rule.

To create a Rule to move your Junk Faxes from
your Lotus® Notes inbox to a Junk Faxes Folder, do the following:
- To create a junk faxes folder, select or open the database
where you want to create the folder.
- From the menu, choose Create - Folder.
- Enter "Junk Faxes" in the "Folder name" field in the "Create
Folder" dialog box.
- Click "OK"
- To create junk faxes filter rule, open your mail database and
in the navigation pane, click Tools and then Rules.
- From the menu, choose Actions - New Rule
- Under "Specify Conditions", select "sender", "is", and enter
emessaging@ipfax.venali.net in the "Create condition" field, then
click "Add"
- Under "Specify Conditions", choose "Create Condition", "AND",
"subject", "contains", and enter Junk Fax: in the "Specify Actions"
field and then click "Add"
- Under "Specify Actions", select "move to folder", click "Select",
select the Junk Faxes folder you created above, click "OK"
- Under "Perform the following actions:", click "Add Action",
then click "OK"
- After you are finished, the rule should display as follows:
When: Sender is emessaging@ipfax.venali.net
And Sender contains Junk Fax:
